A dedicated, 30-person HOK space management team provided ongoing services to Morgan Stanley between 2009 and 2021. Our team members were embedded with Morgan Stanley’s people at offices in New York, London, Mumbai and Hong Kong.

HOK’s team has provided Morgan Stanley with space and occupancy planning, real estate data management, business intelligence reporting, change management and workplace design services. We continue to support them in a consulting capacity.

Morgan Stanley’s goal was to consolidate its real estate data into a single global system. Before engaging HOK, the company was running three regional Archibus systems. Our space management team led a Technology Needs Assessment and helped them select and implement a ManhattanONE global Integrated Workplace Management System (IWMS).

During this transition to using the new IWMS, we ensured that all existing systems remained fully operational while we improved data quality, space and drawing standards, and reporting capabilities.

HOK’s team also helped develop a comprehensive dashboard reporting capability. First, we defined rules and processes for ensuring that accurate data would feed monthly space allocations. Standardized monthly metrics reporting included badge access data. We added a five-year space forecast and worked with the company’s finance team to define the total annual space cost. Finally, we supported the transformation of standalone dashboards for each property into a fully interactive Tableau dashboard.

Following our Data Quality Assessment, we recommended that Morgan Stanley undertake a comprehensive drawing and data standardization and governance update process. This helps ensure the integrity of its space and occupancy data.

Our team also recommended that Morgan Stanley instill a culture of data integrity. This requires its teams to commit to following the data management protocols. Otherwise, even the best standards won’t improve the accuracy and relevancy of the data.
